Crawfords Group, a major agricultural machinery dealer with five depots across the Southeast of England, has transformed its approach to fleet management after implementing AssetGo’s compliance software.

Operating a diverse fleet of around 80 vehicles—ranging from vans and pickups to company cars and trailers—Crawfords had previously relied on spreadsheets to oversee servicing, tax, MOTs and defect checks. But as the company grew rapidly, this method became unworkable.

“We doubled in size in five or six years and tried to let each depot manage their own vehicles,” said Darren Bantick, group aftersales manager. “The condition of the vehicles, the MOTs, the tax, the servicing – it all became too much. We knew we needed something to give us a helping hand.”

The switch to AssetGo in September 2024 has significantly improved vehicle oversight and compliance processes. “We now have control,” Bantick added. “Monthly checks are in place, and if something’s due, the system reminds you. If there’s a defect, it flags it. One of our drivers recently had a tyre wearing on the outside and we caught it early, before it turned into something dangerous. Now, we have so much more confidence that the fleet is being managed properly, because the system does the thinking for us.”

Initially onboarding 40 vehicles, the team quickly expanded the system to cover the entire fleet. “It’s not just the service vans anymore—we’ve added company cars, trailers, pickups – everything,” said Bantick.

AssetGo provides tools for core compliance tasks such as daily walkaround checks, defect reporting, cost tracking, tachograph compliance, fuel usage and expense logging. These features have enabled Crawfords to establish visibility and accountability across its depots.

Fleet consultant Jade Younger, who recommended AssetGo based on prior experience, said: “I’d used other systems and nothing came close. AssetGo is smooth, easy, and completely idiotproof – in the nicest possible way! It just works. Some other systems overcomplicate everything. This one gets it right from the start.”

Jade also noted that Crawfords’ decision to adopt the system was proactive. “A lot of companies wait until they’re forced to be compliant, but Crawfords didn’t. They saw the importance of getting compliant before it became critical, and AssetGo gave them the tools to do it.”

Crawfords has also started using the platform to manage tachograph compliance for LCVs towing over 3.5 tonnes. Future plans include automating driving licence checks, which are currently done manually through HR.

“That’s the next step,” Bantick said. “Doing it manually isn’t the most efficient way, and means it can take longer. Automating licence checks will speed the whole thing up.”
