How to make sure your company cars are legal

Companies should have a 'Driving at Work' policy in place to ensure best practice

Probably the easiest way is using the DVLA’s premium rate telephone service (51p per minute) but the driver must be present.
Alternatively each driver can provide you with a special access code so you can view their licence on line once the driver has completed the DVLA’s “Share my Licence” procedure.

The third choice is to use an accredited driving licence verification service provider.

Every company must have a “Driving at Work” policy in place covering issues such as speeding, drug use, driving offences and even eating and smoking in the car.

Each driver must be given a copy of this and sign to say they have received and understood it.

You have a legal responsibility to assess each driver for road risk and this can be done on line, but if anyone shows up as being a high risk it must be followed up with suitable training.

If you don’t do this you could be held responsible or partly responsible if the driver is subsequently at fault in an accident.
Finally if you want to be safe rather than sorry it’s not a bad idea to ask your drivers take annual health and eyesight checks.

Such diligence can pay dividends in the long run. And keep both your drivers and company cars legal.
